A conversation with Karen Gibb on the Lived Experience podcast

Scaling a business often comes with a warning label: more success equals more stress. But it doesn’t have to. Growth within Mind Marvels is intentional, structured to expand your impact while safeguarding your energy.
You don’t need to work longer hours or do everything yourself to grow. In fact, we believe the opposite. True, sustainable growth comes from building a smart structure around you – one that honours your wellbeing as much as the children you support.
This is what our founder, Karen, has done – and it’s how our franchisees can scale their business with clarity, not chaos.
Build before you’re busy
One of the biggest mistakes new business owners make? Waiting until they’re overwhelmed to bring in help. Hiring early isn’t a luxury, it’s a strategy.
If you wait until you’re juggling too many bookings and your inbox is overflowing, onboarding someone new becomes another stressor. But when you bring in a Session Leader before you’re at full capacity, you can train them well, involve them in your values, and grow together at a sustainable pace.
Start small: hire one person to deliver a few sessions a week. Let them shadow you. Build trust. That way, when more bookings come in – you’re ready.
Organise to stay energised
Being organised isn’t about perfection – it’s about staying one step ahead so you’re not constantly reacting. A few systems make a big difference:
- Use Google Calendar to schedule school sessions, networking events, invoicing days and team check-ins. Seeing your week laid out helps you avoid overcommitting.
- Set admin hours. Block out time in your week (and protect it) to deal with emails, invoices and enquiries. Don’t let it spill into evenings or weekends.
- Create templates for common tasks – booking confirmations, follow-up emails, social media posts. It saves time and keeps everything consistent.
Organisation isn’t just about being efficient. It’s how you stay calm, grounded and in control as your business grows.
Do what you say you will
Reputation is everything, especially in the education world. Schools need to know they can rely on you. That means sticking to deadlines, showing up on time, replying to emails and delivering what you promised.
It’s simple, but powerful. When you’re dependable, schools become repeat clients. They tell others. Referrals grow. You get known as the safe pair of hands who supports their pupils and their staff.
Karen built the Mind Marvels brand on trust. Her schools knew they could count on her and that’s what helped her expand into multiple partnerships quickly and sustainably.
You’re not a one-person show
Running a business doesn’t mean doing everything. In fact, doing everything is a fast track to burnout.
You have to know when to delegate. Trust your Session Leaders to deliver high-quality wellbeing sessions. They work on the business – building partnerships, planning growth, leading with purpose not just in it.
You might start as the one delivering most sessions, but that won’t last forever. As you grow, your role evolves. You become the leader of children’s wellbeing in your area, guiding others while holding the bigger vision.
And that’s where the magic really starts.
Protect your energy, protect your impact

There’s a reason you left the classroom. You wanted to support children without sacrificing your own wellbeing. That’s still the goal.
Scaling your business doesn’t mean giving up balance. It means getting better at protecting it.
Take breaks during school holidays. Set boundaries around your working hours. Schedule wellbeing time for yourself – whether it’s a walk, a yoga class or simply finishing work at 3pm on Fridays. Your energy is the engine of your business. Look after it like it matters, because it does.
Karen grew Mind Marvels by being organised, hiring early, and staying focused on what mattered most.
What growth really looks like
Growing a Mind Marvels business might start with three local schools. Then it’s ten. Then you’ve hired a team, developed partnerships with local councils, and maybe even expanded into holiday programmes.
But growth isn’t just about numbers. It’s about depth.
You’ll impact more children with meaningful, consistent wellbeing tools.
You’ll empower educators with strategies they can use daily.
You’ll create opportunities for others by employing and mentoring your own team.
And you’ll do it in a way that doesn’t drain you – because you’ve built the foundation right.
The Mind Marvels difference
We don’t leave you to figure this out alone. You’ll have access to:
- Ongoing franchisee training to support your growth mindset.
- Session Leader recruitment guidance to help you hire the right people.
- Business planning tools to set smart, manageable goals.
We believe in growth without burnout. In impact without overwhelm. In building a business that lifts you up, not wears you down.
Final thoughts: you will grow – with the right tools
If you’ve got the leadership experience, the drive to make a difference, and the desire to build something with integrity – you will grow this business.
You’ll do it by hiring before you need to. By getting organised. By showing up with consistency. And by never losing sight of why you started – to support children in a way that honours your wellbeing too.
It’s not always easy. But it is worth it.
